Recommended workflow: from project plan to completion

Example: a company is developing a new online store. The project manager does the following.

  1. Create the projectProjects Create new project; methodology Scrum, type IT development; a goal of 4–5 sentences; critical outputs line by line; attach the project brief as a PDF; Create project.
  2. Review the planView in the read-only view; correct the text in the Update content block if needed.
  3. Refine the tasks — add missing ones (Add or AI Generation), assign responsible people, dates and planned hours.
  4. Link the schedule — add dependencies and buffers in the Gantt chart, and review the Critical path.
  5. Add risks — at least the 3–5 main risks, each with a mitigation plan.
  6. Enter the budget — planned expenses in the Budget and expense lines block.
  7. Share with the teamShare project, Editor for the team, Viewer for leadership.
  8. Lock the baseline and add milestones for approval.
  9. Day-to-day work — the team moves cards on the Kanban board, marks tasks as done and comments.
  10. Weekly review — check Attention signals and generate a status summary; Business turn the meeting notes into actions.
  11. Reporting to leadership — export the document as PDF/DOCX; Business use the portfolio view.
  12. Closing — change the status to Completed, and later to Archived.
