Writing a grant application with AI

Writing an application is not creative work — it is translation: your project has to be restated in the funder's structure and terminology. Projektiassistent does that translation from your project plan, putting objectives, activities, budget, risks and impact into the right sections.

01 / How it works

Four steps from project to application

You do not start from the application form. You start from the project — and the application is one of its outputs, which you can produce for as many programmes as you need.

1️⃣

Describe the project

A couple of sentences in your own words: what you do, for whom and when. The AI builds a plan from it.

2️⃣

Review the plan

Objectives, activities, schedule, budget and risks are there — you refine the numbers and the wording.

3️⃣

Pick a programme

The AI adapts the text to the chosen funder's structure and terminology.

4️⃣

Generate the application

You get a structured application text with the budget and risk analysis, ready to review and submit.

02 / Why applications fail

Most gaps are structural, not substantive

An evaluator will not read your good idea out from between the lines. The most frequent problems are exactly the ones a system can catch before submission.

  • 🎯 Objectives are not measurable. "Raise awareness" is not an objective. The AI proposes a measurable phrasing with an indicator.
  • 💶 The budget does not match the activities. If a cost line matches no activity, it surfaces before submission rather than after.
  • ⚠️ Risk analysis is generic. Risks are derived from your plan — schedule, dependencies and budget — not from a generic list.

03 / Sections

What the AI assembles from your project

Section names differ by programme, but the substance asked for repeats. Always check the conditions of the specific call on the funder's own site — Projektiassistent drafts the content, it does not replace the rules.

Frequently asked questions about applications

How do I write a grant application if I never have before?

Start from the project, not the form. Describe in your own words what you want to do and why. Projektiassistent builds a project plan and then the application text in the chosen programme's structure. Your job is to review and refine.

Can I produce several applications from one project?

Yes, and it is common: the same project often fits several programmes but needs different wording and emphasis in each. One project, as many applications as you need.

Does the AI write the application for me?

The AI produces a structured draft from your project data. The substance and the final wording stay with you — the application has to be your project, not generic text.

Does Projektiassistent know the rules of a specific call?

It drafts content following the typical structure of a programme. The conditions, deadlines and eligibility criteria of a specific call must always be checked on the funder's own site — they change from round to round.

What language will the application be in?

Estonian, English or Russian. For international programmes the AI produces an English version from the same project.
